How to Send an RFQ for PVC Safety Boots: Quantity, Sizes, Standards, and Packaging

A clear RFQ saves time for both buyer and factory. For PVC safety boots, the best quotation is not only a price per pair. It should confirm the model, safety level, size range, packaging, certification needs, lead time and inspection expectations.

If the first message only says “Please quote safety boots,” the supplier has to guess too many things. That usually leads to a slow reply, inaccurate pricing or a quotation that cannot be used for a real purchase order.

This guide gives importers, distributors and OEM buyers a practical RFQ checklist for PVC safety boot orders.

1. Start with the product application

Tell the supplier where the boots will be used. The application affects sole design, safety level, material, color and packaging.

Application Typical buyer concern Useful specification direction
Construction and wet job sites Toe impact, penetration risk, mud, water S4/S5 PVC safety boots, anti-slip outsole, reinforced construction
Agriculture and farm work Mud, water, chemicals, easy cleaning Durable PVC rain boots or occupational boots with deep tread
Food processing and washdown Water, cleaning, hygiene, wet floors Easy-clean upper, white or light color options, slip-resistant outsole
Mining, utility and industrial work Rough ground, heavy use, safety rules Steel toe, steel midsole where required, stronger outsole
Wholesale and retail distribution Cost, size mix, shelf presentation Balanced specification, stable size ratio, barcode or carton label options

A good supplier can recommend models faster when the application is clear.

2. Give the target market

The destination market changes the documentation needed. For example, an importer selling to Europe may ask for CE-related evidence, while a buyer selling to Australia may ask for AS 2210-related documents. Some Middle East, Southeast Asian or Latin American buyers may follow local rules plus customer-specific test requirements.

In your RFQ, write the target country or region clearly:

  • European Union
  • United Kingdom
  • Australia
  • Middle East
  • Southeast Asia
  • Central or South America
  • Your own domestic wholesale market

If your customer has a tender document or compliance checklist, send it early. It is much easier to match the right product before sampling than after production.

3. Define the safety level

PVC safety boots may be ordered as occupational rain boots, safety toe boots, or higher-protection safety boots with penetration resistance. Do not rely only on the product photo.

Include these details if you already know them:

  • Safety category required, such as S4 or S5
  • Steel toe or other protective toe requirement
  • Steel midsole / penetration-resistant insert requirement
  • Slip-resistance expectation
  • Chemical or oil-resistance requirement
  • Any customer-specific marking or report requirement

If you are not sure, explain the job site. The supplier can help suggest a starting specification.

4. Provide quantity and size range

MOQ and price depend heavily on quantity and size distribution. A total quantity without sizes is not enough.

A useful RFQ should include:

  • Total order quantity
  • Size range, such as EU 39–46 or UK 6–12
  • Size ratio if known
  • Quantity by color
  • Whether this is a trial order or repeat order
  • Expected annual volume if available

For distributors, size planning is one of the biggest profit points. A bad size ratio can leave slow-moving stock in the warehouse.

5. Confirm color and logo requirements

Standard colors are usually faster and easier for the factory to quote. Custom colors, molded logos and private-label packaging may need higher MOQ or longer lead time.

Tell the supplier:

  • Boot upper color
  • Sole color
  • Logo position
  • Logo method: printing, molded logo, label, hang tag or packaging only
  • Pantone color if exact color matching is required
  • Whether you need buyer artwork approval before production

If it is your first order, a standard model with simple logo printing is usually the safest route.

6. Explain packaging needs

Packaging can affect cost, carton size, shipping volume and retail presentation.

Common options include:

  • Polybag per pair
  • Color box per pair
  • Neutral export carton
  • Private-label carton mark
  • Barcode or SKU label
  • Instruction sheet or compliance insert
  • Pallet packing if required

For industrial distributors, strong cartons and clear size labels are often more important than expensive retail packaging.

7. Ask for certificates and documents before sampling

Do not wait until shipment to ask for compliance documents. If your buyer needs CE, UKCA, AS 2210, REACH or other test evidence, mention it in the RFQ.

Ask whether the supplier can provide:

  • Certificate or test report for the exact model
  • Declaration of Conformity where applicable
  • Product marking photos
  • Size range covered by the document
  • Company name and model relationship explanation if needed
  • Chemical test evidence for restricted substances if required by your market

For LITAI orders, buyers may see LT model references under Tianjin Litai Shoes and DR / DF references under Tianjin Dexinyuan, a related subsidiary operation. If your customer needs this explained in the document pack, request it before order confirmation.

8. Include sample and delivery expectations

A quotation should help you plan the whole order, not only compare unit price.

Ask for:

  • Sample availability
  • Sample lead time
  • Mass production lead time
  • Loading port
  • Trade term, such as FOB, CIF or EXW
  • Payment terms
  • Inspection method before shipment
  • Photo or video confirmation before loading

If the goods are for a tender or seasonal demand, tell the supplier the required delivery window immediately.

9. Simple RFQ template

You can copy and adapt this format:
